Petty cash custodian funds, payment vouchers, and replenishment
Control office cash floats, track small expense vouchers, and approve replenishment reimbursements.
Control daily incidental cash expenditures with assigned petty cash funds.
1. Custodian Fund Setup: In Finance → Cash Accounts, create a Petty Cash account linked to a dedicated ledger sub-account and assign the responsible staff custodian.
2. Initial Float: Transfer an approved opening cash amount from your operating bank account to the custodian.
3. Recording Expense Vouchers: As daily cash purchases occur (office supplies, courier, refreshments), enter petty cash vouchers with receipts attached.
4. Replenishment Request: When the fund balance reaches its minimum threshold, the custodian submits a replenishment summary. The finance manager reviews the attached receipts and issues a top-up bank transfer to restore the original float.
